VAN POLICY
FIRST UMC BURLESON
03/2007
1. Purpose
The purpose of this policy is to establish guidelines for
the use of all Vans Owned or Rented by FUMC Burleson. In order to properly
document all equipment for insurance purposes and insure the proper care and
maintenance of all Vans, the designated trustee(s) will oversee the record
keeping of the inventory.
II. Authority
This document is authorized by the Board of Trustees and
any variations or exceptions to this policy must first be approved by the Board
of Trustees and when appropriate, by the Church Council.
III. Policy Life
This policy or its subsequent revisions will remain in
force until change or revised by the Board of Trustees at the First United
Methodist Church of Burleson.
IV. General Use and
Guidelines for Use
Each person must be at least
25 years of age and submit his/her driver’s license to the Church office for a
photocopy to be made. This copy will
stay on file in the Church office.
Each person must agree to
have a driver’s license check run on their license before approval to drive
will be granted.
Each person must be approved
by the Trustee before they can legally drive for the Church. This approval will be given after the
Trustees have reviewed their license check and driving record.
Each person will then be
placed on the Church’s insurance policy for coverage. No one will be allowed to drive until the license check, the
Trustees approval, and the name added to the insurance policy has taken effect.
Once the approval to drive
has been given, each person must attend an orientation driving session given by
the Trustees regarding the safe operation of the vehicles.
Any person not following the
established guidelines for the vehicles, or whose driving record reflects
unsafe driving, may be removed from the driver’s list by the Trustees.
The vans are all 15 passenger
vans. This includes 14 passengers plus
the driver. The manufacturer’s
recommended vehicle passenger number of 15 may NOT be exceeded at any
time. It is illegal for more than 15
persons to be in the van at any time.
There will be NO double belted seating.
NO EXCEPTIONS.
Due to insurance restraints, the
vans may not be leased, rented, or borrowed by other groups. The vans are to be used only by
organizations sponsored by the Church.
This includes the Pre-School Program, Scouts, Youth, SS Classes, and any
other persons who are part of the ministry or work at the Church. The vans cannot be used by Senior Citizens
groups, Chamber of Commerce, Schools or
anyone else not part of the ministry and work of the Church.
The request to use the vans
must be made through the Church office on the official form, and is not binding
on the Church until signed by the Church Secretary in charge of the Church
calendar, which includes the calendar use for the vans.
The vans should be full of
gasoline when use begins and they should be full of gasoline when the use ends. Persons/groups using the vans are
responsible for the cost of their gas.
A per-person charge (depending on the length of the trip and number of
persons going) may be collected from each person riding. This charge may be determined by the person
or group requesting the van. The person
requesting the van will be responsible for replacing the gasoline BEFORE
returning the van to the Church garage.
NO Food or Drink is allowed
in the vans.
The inside of the van should
be clean of all trash, etc. when picked up for use, and returned clean, for the
next use.
Van Use Agreement
I have read and understood
the Policy on Van Use and agree to abide by the guidelines listed in the
policy.
